FUNCTION: Manage client relationships and coordinate event planning and fulfillment for Willow Springs Raceway.

ABOUT THE POSITION
Willow Springs Raceway is seeking a Client Services Manager to support and service clients throughout the lifecycle of their business with the Raceway, from contract execution through event completion and follow-up. Working alongside Sales and in close coordination with Events, Operations, and other internal teams, this position translates client expectations into a well-executed event experience. The ideal candidate is relationship-driven, highly organized, proactive, and comfortable managing multiple accounts and priorities while helping eliminate gaps between what is sold, planned, and delivered.
RESPONSIBILITIES
Client & Account Management
- Develop a strong understanding of each client's business, objectives, expectations, and history with Willow Springs Raceway.
- Build and maintain strong working relationships with clients while supporting the Sales team's overall ownership of the commercial relationship.
- Maintain regular and proactive communication with clients throughout the planning and event process.
- Anticipate client needs, identify outstanding items, and proactively follow up to ensure commitments are completed.
- Help ensure contractual obligations and agreed-upon event elements are understood, communicated internally, and fulfilled.
- Assist in resolving client questions, requests, and concerns by coordinating with the appropriate internal teams.
- Work alongside Sales on post-event follow-up, client feedback, account development, and future opportunities.
Event Planning & Account Fulfillment
- Coordinate the planning process for assigned client events in conjunction with the Sales, Events, and Operations teams.
- Gather and organize client requirements including schedules, hospitality needs, facility usage, branding, vehicle logistics, vendors, guest information, and other event details.
- Coordinate and participate in client planning calls, site visits, pre-event walkthroughs, and internal planning meetings.
- Develop and maintain event timelines, planning documents, client information, and other materials necessary to support successful delivery.
- Track event milestones, client deliverables, and outstanding action items and proactively follow up as necessary.
- Assist with the collection and tracking of contracts, certificates of insurance, payments, catering selections, vendor information, credentials, and other required documentation.
- Coordinate client changes and additional requests and ensure the appropriate internal stakeholders remain informed.
- Maintain accurate and organized client and event records within company systems.
Internal Communication & Coordination
- Facilitate the timely exchange of information between clients, Sales, Events, Operations, Food & Beverage, Safety, Accounting, Marketing, Facilities, vendors, and other stakeholders as necessary.
- Proactively identify gaps in communication or planning and work with the appropriate teams to address them.
Event & Team Support
- Maintain a visible presence during assigned client events and provide on-site client support as needed.
- Assist with event preparation, hospitality, setup, client-facing activities, and other needs as required.
- Contribute wherever necessary to support the successful delivery of Willow Springs Raceway events.
QUALIFICATIONS
- Bachelor's degree required.
- Relevant experience in account management, client services, hospitality, sports, entertainment, event coordination, or a related field preferred.
- Exceptional relationship management and customer service skills.
- Excellent written and verbal communication skills.
- Strong organizational and project management skills with exceptional attention to detail.
- Ability to manage multiple client accounts, events, priorities, and deadlines simultaneously.
- Proactive approach with a strong sense of accountability and follow-through.
- Ability to exercise sound business judgment and solve problems in a fast-paced event environment.
- Ability to collaborate effectively across departments and with a wide variety of internal and external stakeholders.
- Proficiency with Microsoft Office; familiarity with CRM and project management systems preferred.
- Ability and willingness to work flexible hours, including early mornings, evenings, weekends, and holidays, based on the event schedule.
PHYSICAL REQUIREMENTS
- Ability to sit, stand, and walk for extended periods during office work and events, with or without reasonable accommodation.
- Ability to move throughout a large indoor and outdoor venue, including over uneven surfaces and through areas accessed by stairs.
- Ability to frequently use a computer, phone, and other standard office equipment.
- Ability to occasionally lift and move event materials and supplies, with or without reasonable accommodation and with appropriate assistance or equipment when necessary.
SCHEDULE
This position requires a flexible schedule based on client and event needs. Regular business hours may be supplemented by early mornings, evenings, weekends, holidays, and extended hours before, during, or after events.
WORKING CONDITIONS
This position works in a combination of office, event, and outdoor venue environments. Event support may involve exposure to hot, cold, or inclement weather; elevated noise levels; crowds; vehicle traffic; and areas where equipment or machinery is operating. The role may require extended periods on-site and frequent movement between offices, hospitality areas, event spaces, and track facilities. Employees are expected to follow all established safety procedures and wear appropriate personal protective equipment (PPE) when required.
