General SummaryThe City of Lancasters Police Department is seeking an experienced and highly motivated Administrative Assistant to support its operations. Under general supervision, the Administrative Assistant performs a variety of clerical and administrative duties, compiles and maintains records of LPD transactions and office activities and applies knowledge of departmental systems and procedures. The position also works collaboratively with other department administrative staff to support the Police Department as a whole, assisting with cross-divisional projects, records management and operational initiatives. The ideal candidate will have strong administrative skills, familiarity with law enforcement or public safety procedures, and the ability to work independently in a fast-paced environment. 


Selection Process (for selected applicants)

  • Written or Practical Exam – Assesses relevant administrative and clerical skills.
  • Interview – Evaluates experience, communication, and suitability for the role.
  • Comprehensive Background Investigation – Includes:
  • Background Investigation, including but not limited to:
    • Live Scan fingerprint check
    • Assignment of a background investigator
    • Completion of a Personal History Statement
    • Background interview with the investigator
  • Medical Evaluation – Ensures candidates meet the required physical and medical standards for the position. physical and health requirements of the position.

Responsibilities include, but are not limited to:

  • Ensure compliance with records retention schedules and confidentiality requirements.
  • Provide general information to the public.
  • Order office supplies.
  • Maintain confidential records.
  • Process invoices for payment and submit purchase order requests.
  • Perform administrative projects for management personnel by researching and compiling background data, maintaining records, filing, and department administrative duties.
  • Recommend and assist in the implementation of goals and objectives, establish schedules and methods for office operations; implement policies and procedures.
  • Evaluate operations and activities of assigned responsibilities; recommend improvements and modifications; prepare various reports on operations and activities.
  • Provide follow up to assignments given to management and/or operations staff by executive and/or management staff; provide status reports to executive and/or management staff.
  • Coordinate and make travel arrangements.
  • Maintain appointment schedules and calendars.
  • Arrange LPD meetings and conferences.
  • Builds and maintains effective working relationships with co-workers, other City employees and the public using principles of good customer service.
  • Performs clerical duties including typing, proofing, editing, formatting, copying, faxing, and distributing a variety of documents from rough draft or verbal instruction.
  • Perform receptionist duties, such as greeting and assisting customers in person, on the phone, or via e-mail.
  • Receives, sorts and distributes incoming and outgoing inter-office and U.S. Mail.
  • Establish and maintain positive working relationships with representatives of community organizations, state/local agencies, City management and staff, and the public.
  • Drive City vehicle.
  • Perform related duties as assigned.

Minimum Qualifications:

  • Any equivalent combination of education and experience that provides the knowledge, skills, and abilities necessary for acceptable job performance. An associate or bachelor’s degree is preferred.
  • Four (4) years of general clerical experience in an office setting.
  • Previous experience working in a Police Department, preferred. 
  • Bilingual proficiency is desired but not required. 
  • Experience with records management, databases or data entry.
  • Experience with records management systems or law enforcement software (desired).
  • Ability to maintain accurate and organized files. 
  • Ability to communicate clearly and professionally with the public, Officers and other agencies.
  • Ability to work independently and as part of a team.
  • Ability to maintain confidentiality of sensitive law enforcement records.
  • Possession of a valid California Driver’s License.
  • Successfully pass background investigation and medical evaluation.
